Check-In Made Easy: What to Expect

No front desk, no key handoff, no awkward small talk. Here's exactly what happens between booking and walking through the door.

If you've never done a vacation rental check in, or you've done one that went badly, here's how it works with us. There's no lobby and no clerk. There is a smart lock, a phone number that a real person answers, and a house that's been cleaned and inspected before you arrive. This post walks through the whole thing from booking to bedtime so there are no surprises, whether you're heading to The Eugene House, the coast, or the mountain.

Right after you book

You'll get a confirmation from wherever you booked (Airbnb, Vrbo, or our direct site) and a message from us within a few hours. That first message is short: hello, thanks, here's who we are, here's how to reach us. If you booked direct, you'll also get a simple rental agreement to sign. Read it. It's mostly about dogs, occupancy, and hot tub common sense, and it takes two minutes.

This is also the moment to tell us anything useful: bringing a dog (yes please, just say so), arriving late, celebrating something, need the crib or the high chair. We read everything and we're around seven days a week.

The week before

About seven days out, we send the pre-arrival guide. It includes:

  • The address and specific driving directions, including the parts Google gets wrong. A few of our driveways need a heads-up.
  • Check-in time (usually 4pm) and checkout time (usually 11am).
  • Parking: where, how many cars, and any quirks.
  • What's stocked, so you know what not to pack.
  • Season-specific notes: chains for Mt. Hood in winter, high surf advisories on the coast, game-day traffic in Eugene.

The morning of arrival

Your door code arrives the day you check in, typically in the morning, along with the WiFi network and password and a reminder of the check-in time. Each stay gets a unique code that works from check-in to checkout. Save that message somewhere you can find it offline; cell service can fade on the last few miles to the coast and mountain homes, which is why we send everything early. At the door

Enter your code on the keypad, hear the lock turn, and walk in. That's it. If the code doesn't work, and once in a while a keypad gets finicky in cold weather, call or text us. Every home also has a mechanical backup, and we'll walk you through it. We answer from 8am to 8:30pm every day, and after-hours emergencies go to an on-call number listed in your messages.

The first ten minutes

Every house has a welcome book, printed and digital, near the entry. It covers:

  • Thermostat, fireplace, or wood stove instructions.
  • Hot tub rules and how to use the cover (Wildwood Basecamp, The Weekender, and Puffin Lane all have one).
  • Where the extra towels, blankets, and dog bowls live.
  • Trash and recycling day, and where the cans go.
  • Local recommendations from us, not from a brochure.

Take a lap. If anything's off, tell us right away rather than at checkout. A burnt-out bulb, a missing pan, a cold hot tub: we can usually fix same day, and we'd much rather know.

Dogs and kids

Pets are welcome at all our homes with a pet fee that's stated up front. We ask that dogs stay off the beds and furniture, and that you use the yard or the beach rather than the neighbor's lawn. The Eugene House has a fenced backyard; Puffin Lane and The Weekender are a short walk to off-leash beaches. For kids, ask us about high chairs and pack-and-plays; availability varies by house.

Checkout

It's simple: start the dishwasher, bag the trash, leave used towels in the tub, close windows, lock the door. Don't strip the beds or clean; that's what the cleaning fee is for. The code deactivates at checkout time, so if you need a late checkout, ask the night before and we'll say yes when the calendar allows.

Vacation rental check-in should be the easiest part of the trip. When it's done right, you don't think about it at all. That's the goal.

What time is check-in and checkout at your homes?

Check-in is generally 4pm and checkout is 11am, though it can vary slightly by home, so confirm in your pre-arrival message. Early check-in or late checkout is often possible in shoulder season if the calendar allows; just ask the day before and we'll tell you yes or no honestly.

How do I get the door code for my vacation rental?

Your unique door code, WiFi details, and a reminder of check-in time arrive by message on the morning of your arrival. Save it where you can find it without cell service. If the keypad ever acts up, call or text us and we'll get you in with a backup method.

Who do I contact if something is wrong when I arrive?

Call or text us at 541-337-8947 any day from 8am to 8:30pm, and use the after-hours emergency number in your messages outside those hours. We'd rather hear about a cold hot tub or missing item in the first ten minutes than at checkout, because we can usually fix it the same day.
